The One Conversation Every CEO Should Have With Their IT Partner Every Quarter

quarterly CEO IT review

Most IT relationships operate in one direction: the IT partner surfaces problems, presents solutions, and bills for the work. The business receives the output and pays the invoice.

This is an adequate model for IT as a utility. It is an inadequate model for IT as a strategic function.

The CEO who has a structured quarterly conversation with their IT partner about the business, not just the technology, gets something different from the relationship. They get a partner who understands where the business is going, who can surface technology implications before they become problems, and who is working toward business outcomes rather than technical deliverables.

1. What the Business Is Trying to Do in the Next Quarter

The IT partner needs to understand the business priorities before they can identify the technology implications.

  • What are the two or three initiatives the business is focused on this quarter?
  • Are any of these dependent on technology infrastructure that does not yet exist?
  • Are there planned changes to team size, locations, or operations that will affect IT requirements?

An IT partner who knows a new office is opening in sixty days can begin the infrastructure preparation now, whereas one who learns about it a week before opening is already behind.

2. What Is Working and What Is Not

The CEO's perspective on IT performance is different from the IT team's perspective, and both are useful.

  • What technology frustrations are you or your team experiencing that you have not escalated because they feel too minor?
  • Are there systems that feel slower, less reliable, or harder to use than they were six months ago?
  • Is there work the team is doing manually that should be automated?
  • Where are you losing time to technology that should be saving it?

The IT partner who hears this feedback directly from the CEO has context that does not always travel through the normal support channel.

3. What Risks the CEO Should Know About

Most IT partners have visibility into risks that are not urgent enough to generate a formal alert but significant enough to warrant the CEO's awareness:

  • Systems that are approaching end of life or end of support
  • Security gaps that have been identified but not yet remediated
  • Vendor relationships that carry renewal or continuity risk
  • Infrastructure that is being strained by growth and may require investment in the next one to two quarters

A CEO who is informed of these risks in advance can plan for them. One who encounters them as crises has fewer options.

4. What the IT Partner Needs to Do Their Job Better

The conversation should run in both directions. The IT partner likely has requests that have not been fulfilled that are affecting their ability to serve the business well:

  • Access or context they have been waiting for
  • Decisions they need from the business to proceed with work that is on hold
  • Changes to the engagement model that would make the relationship more effective
  • Visibility into upcoming business changes that would help them prepare

5. What Success Looks Like for the Next Quarter

The quarterly conversation should end with a shared definition of what a good quarter looks like for the IT partnership:

  • Which specific projects or improvements should be completed?
  • What performance standard should the business expect for reliability and support responsiveness?
  • What is the single most important thing the IT partner can do this quarter to support the business's priorities?

A Different Kind of Relationship

The CEO who has this conversation quarterly has a different IT partnership than the one who interacts only when something breaks. The partner is more aligned, more proactive, and more valuable because they have the context to be.

At Smartt, we build our FlexHours engagements around exactly this kind of regular strategic alignment. If your current IT relationship does not include this conversation, it might be worth asking whether it should. Reach out and find out!
