Key Responsibilities

About the Role

Our Admin Assistant is at the heart of our company. They are responsible for running an efficient and seamless office environment, wowing our visitors with their charm, and have a deep desire to help improve our firm with their brilliant ideas. Ideally you will exude confidence, get genuine satisfaction from being detail oriented and combine your existing skills in office administration and financial accounting.

 

What will you be doing?

1. General Administration, Guest Reception, and Communication

  • Greet visitors and prepare meeting space for meetings
  • Connect inbound calls to the right person and department
  • File, print, copy, fax, scan, mail in/out, and binding support
  • Update Standard Operating Procedures
  • Communicate events, policies, and other announcements
  • Provide support in planning and executing company workshops and events

2. Administration & Finance

  • Coordinate and manage accounts receivables and payables on a bi-weekly basis
  • Communicate with clients to ensure billing records are always up to date
  • Answer billing questions and provide support over phone, e-mail and in person
  • Collect client information and coordinate order processing

3. Facility Management

  • Keep our office safe, tidy and presentable for visitors and staff
  • Love and care for our office plants!
  • Provide secure access to datacenter and electrical room

4. Procurement and Inventory Management

  • Manage office supplies inventory proactively keep everything well stocked
  • Order and arrange office supplies and equipment
  • Order and manage inventory of network equipment

What are we looking for?

  • Post-Secondary Education
  • 2+ years’ experience working in a professional office environment
  • Strong written and verbal English skills
  • Strong computer skills using Microsoft Office, Adobe, CRM and other on-line tools
  • Basic Accounts Payable and Accounts Receivable skills
  • Insatiable drive to create a WOW experience for clients
  • Ability to plan, organize, schedule, and budget in an efficient, productive manner
  • Ability to work both independently and in team settings
  • Experience with fast-paced environments
